Set Up Rules for Automatic Reply in MS Outlook

Over the internet, Email communication has become very popular. It’s a modern way to connect with the people worldwide. The email server helps you to store, forward and deliver message superiorly. Moreover sometime you are unable to reply to the people’s mails immediately, because you are away from your system or gone on long vacations. So it’s hard to quick response to the clients instantly.


To get rid from above situation you need to apply automatic reply rule to keep in touch with clients instantly. Let’s find out how to write auto reply and apply rule in Microsoft Outlook.

Steps to create mail format:
  •  Open Outlook 2010
  • Click on New mail >> Write response email.
  • Click on save as from file menu.
  • Type name for message templates >> click on save button.
      Steps to Create Auto Reply Rule:
  •       Open Outlook 2010
  •       Click Home >> Rules >> Manage Rules & Alerts.
  •      Click on new rule.

  •       Click Apply rules on messages I receive.
  •       Click Next.
  •       Select Condition from given list.
  •       Click Next.
  •       Select Action>>Reply using a specific template.
  •       Under Step 2:  click a specific template.
  •       Select that template which you have created >> click Open.


  •       Check any exceptions to the auto-reply rule.
  •       Click Next.

  •       Under Step 1: type a name for the auto-reply rule.
  •       Click Finish.

        
    How to turn off Automatic reply in Outlook
   
  1. 1.  Click Home >> Rules >> Manage Rules & Alerts.
  2. 2.  On the Email Rules tab >> under Rule>> Unchecked the rule that you have click on check box.
     
       Note: When you come from vacation you must turn off the automatic reply in Outlook.

What is Add-ins?

Add-ins are third-party Tools that seamlessly integrate with Outlook. Microsoft Outlook has certainly come with its own set of add-ins. It is a program that you use and install with Outlook to boost the performance. When we are installing Outlook Add-ins and importing some projects, tasks, to-do list items, we can easily view our all work items in a single interface at the same time.

In Addition, you can customize Outlook add-ins to create ‘view’ that you need and to specify how updates are submitted in the right manner. Microsoft Outlook also comes with own set of add-ins that makes our task easier. There are so many types of add-ins, some of them are given below:

Types of Add-ins
  • Microsoft Junk Email Reporting Addin: ‘Junk Email reporting Add-ins’ lets you to directly report junk email to Microsoft. These types of add-ins are used to improve junk mail filtering technologies.
  • Microsoft Outlook Social Connector / Outlook Social Connector 2013: This type of add-ins are generally used to connect social media services such as: Facebook. Twitter, Windows Live manager.
  • OneNote Notes about Outlook Items: Whether you are using Onenote to save such additional notes and have them linked with Outlook at that time this feature is helpful, or else you can disable it from the list.
  • Microsoft Access, Outlook Add-In for Data Collection and Publishing: This add-in allows you to sync data to access. It is not needed when you don’t use this feature.
  • Microsoft VBA for Outlook Add-in: While you are using the Macro feature in Outlook, then keep it enabled otherwise, this feature is inactive by default.
  • Windows Search Email Indexer: When you are connecting with Outlook 2010 or 2013 then leave this feature.
  • Microsoft Outlook Backup Add-in: This add-in helps you to create backup copies of your .PST files at regular intervals. It makes easy to keep all Outlook folder backups.

Advantage/ Disadvantage

Advantage
Manage Time and Store Information:  Outlook add-in manage information in a better manner that saves your time. And shows all information in a single interface.

Disadvantage
When you are installing a lot of add-in on your machine, then it may slow down the performance of Outlook or may the System get corrupted due to Anti-virus or start hanging.

How to Enable/Disable Outlook Add-ins in Outlook 2007

Step 1: In Outlook 2007 Go to the Tools Menu > Trust Center


Step 2: Click on Add-ins section, You will see here all Active/Inactive add-ins. Click on Add-in which you want to enable/ disable and hit Go button towards the bottom, this will open COM-ADD-In page
























Step 3: You can check or uncheck add-in which you want to  disable from Outlook and click 'ok' button to apply changes.

How can I Create or Move PST file in Outlook 2010?

I have a friend that is moving files from Outlook 2003 to 2010 and It had problems in figuring out- how to move their mails to PST file. In case anyone else is looking how to do this.

Outlook 2010 provides more functionality to create a PST file. PST stands for personal storage table. Outlook users store all their personal emails, contacts, notes, tasks, calendars and more. It provides option to archive all data into a particular folder. To create a PST file in Outlook 2010, follow the steps are given below:

Step 1: Open Microsoft Outlook 2010 and In the top left of Outlook , and click on File tab.




















Step 2: After that click on the Account setting option




















Step 3: In the Account setting popups click on the second “Data files” option.





















Step 4: Now a new pop-up window open in front of you by the name of New Outlook Data file from it select the particular file format in which you want to create PST as well as mention the name of PST file in search box and click ok




















Step 5: If you want to know about- Where is your PST file stored in your machine then double click on PST file, this dialog box will appears in your screen that show the complete path of your Outlook data file.






















Ok there is also another way to know the path of Outlook PST file in Account setting window there is an option open folder click on it. It also shows the path of your PST file.

Where all My PST file saved?

To access the PST Folder in Win 7, 10, or Vista, enter the following in the address bar in Explorer or in the Run command:

%localappdata%\Microsoft\Outlook\jack.pst

How to Move your PST file?

If you want to manage Outlook data files into an effective manner by moving all of them to an particular location. Then Microsoft Outlook will easily redownload all emails into a new PST file by doing some simple changes in the registry value. 

Step 1: Open Run Box and type regedit in search box.

Step 2: In the Registry Editor box choose Oultook>> Default>> Modify

Step 3: Enter the desirable location of folder, where you want to store your Outlook data files, and then click Ok.

Now, automatically move contents of your Outlook data folder and opened above to the new folder which you specified, after that Reopen Outlook.  Everything should work as before, except your Data files are stored at the location were you want it.

How to Configure Outlook 2007?

Microsoft Outlook is a best Outlook information manager from Microsoft. This application is basically used to share information from one person to another. The current version of Microsoft Outlook- 2013 for Windows and MS Office 2011 for Mac. Although It can be used as stand-alone app or it can work with MS exchange server & for numerous users in an organization: to share mailbox, exchange public file/folders etc.

Follow the steps to configure Outlook 2007 for Windows.

Step 1: Go to the tool Menu and click on "Account setting" Option.





















Step 2: On the Email Tab click "New" button.





















Step3: To add new Email Account choose following options:
  • Choose Microsoft exchange POP3, IMAP, HTTP button.




















Step 4: For manually configuring the email account check the manually configure server setting box >> click on Next button. Otherwise it gets configured automatically.



















  • A pop Internet Email setting windows open on your screen, fill the required information in it.




















Step 5: After filling the information click on Next button. Open outgoing server tab, check my outgoing server requires authentication. Click on Use same settings as my incoming Mail server.

























Step 6: Click on "Advance" Menu. In incoming server POP3 the port no should be set 110. In Outgoing Server, the port no should be set 587.

























Step7: Click OK - Next - Finish Button.

How to get more from Microsoft Calendars?



Outlook user knows how calendars are useful for scheduling meeting and appointments. But they don’t know there is much more than that, here are some tips to get more effective result from Outlook calendars.

Customize Viewing Options

Outlook provides various options to customize the display of calendars. Most of them you get from the view option of calendars and through dialog option of Outlook calendars. Some example:
  • You can customize the view of calendar by selecting Customize Current View option from menu, and even add new view option from Define Views menu option. Outlook itself provides many built in options like select view, current view and arrange by etc. In addition to standard view options, choose from several additional views like Events, Active Appointments, Recurring Appointments and more.
  • Customize work week and hours, show or hide week number, change background color of calendar and many more by selecting Tools >> Options from the menu, and click on preference tab.

View Non-Contiguous Days

  • Customize Calendar to show non-contiguous days:
  • Select Navigation pane by following path View >> Navigation pane from Outlook menu
  • In date navigator available at upper left corner, Ctrl+Click to multi dates.

Print Calendar

  • To print calendar showing appointments
  •  Select File >> Print from Outlook menu.
  • Select Print Style (e.g. Daily, Weekly, Monthly) and Print range.
  • Tick the Check box Hide Details of Private appointments in you don’t want them to print.

Non-adjacent days also get printed

  • View calendar in week or month view
  • Use steps shown above to select Non-Contiguous Days you want to print.
  • Select File >> Print from Outlook menu

Print Black Calendar
  •  Outlook can print black calendar, which is useful to schedule project, keep track of time etc.
  • Select File >> New >> Folder from Outlook menu
  •  Enter name for folder select calendar Items in Folder contains list & specify where folder created. Click ok to create new folder.
  • Select Go >> Folder list from Outlook menu >> Select created folder.
  • Select File >> Print from Outlook menu and follow steps above to print blank calendar.

Export Calendars to Various Formats like Access, Excel etc.
  • Outlook also helps you in exporting your calendars data to several formats.
  • Open calendar & choose File >> Import and Export
  • Choose Export to a File >> Click Next
  • Choose File type in which you want to Export calendar

Save Calendar as a Web Page
  • Outlook also provides an option to publish your calendar on web page.
  • Open calendar >> Choose File >> Save as Web Page
  • Enter appropriate duration & enter title for calendar. You can also select background image for your page.
  •  In File name field, enter file protocol (FTP or HTTP) followed by path to save file. For example: http://localhost/calendar.htm.

Search for Appointments
  • Use Find menu or Click Find on Outlook toolbar to search appointments by variety of criteria.

Jump to Date
  • To jump to a particular date in Outlook calendar, select Go >> Go to date from Outlook menu or press shortcut key Ctrl+G to open Go to date dialog. Select date you want from calendar to jump there.
  • To return back to Today select Go >> Today from Outlook menu or Click Today icon on toolbar

Share your Calendar
 
If your Outlook is integrated with Exchange server than you can share your calendar with any number of users
  • Click Share my Calendar on Navigation pane (left pane) of calendars. It open Permission tab of Calendar Properties dialog.
  • In Name box >> select Default and select permission level to use by default
  • Click Add & use Add Users dialog to select users to share calendar with.
  • Users will added with default permission level. Review permission and make modification if necessary.

Error code 0x80040116

When trying to click 'Settings' on a PST file in Outlook 2007 (File > Data File Management) I kept getting an error code 0x80040116.


I get an error code 0x80040116 when trying to click on Outlook PST file setting option. I had problem with both main folders PST as well as Archive PST file i.e. for removing archive folder issue I just click right on Archive folder and select close archive folder. After that go to file > data file management and click ‘Add’ to add Archive .pst file. You can use this processor for other PST files too. But not for main personal folder Outlook.pst files because it don’t close during an error 0x80040116.

For Personal folder PST file you have to follow the following procedure.
  • Click on file > Data file management then Click on Open folder where Outlook data files are stored. Keep Explorer window open.
  • Exit from Outlook
  • On opened Explorer window you seen an Outlook.pst file it a main personal folder PST file
  • Now copy and paste this Outlook.pst file to other folder and be sure that you have a backup. The process take a long time if you a large PST so be patience
  • Now Open Outlook PST files and deletes all the folders lies under a Personal Folders.
  • Now empty deleted items by clicking Tools and then Empty Deleted Items folders
  • Next open copy Outlook.pst file by going File > Data file management and then Click add.
  • Outlook will now open a Personal folder which would have all emails and other stuff as you had in the personal folders.
  • Now just drag and drop emails back into mail personal folder
  • Once this dragging and dropping process get completed click on the right and Close personal folder
  • You can now go to File > Data File Management and click 'Settings' on your Personal Folders and see the Settings dialog.
During Processing all this procedure is careful as it can harm your Outlook database. I am assuming that you don’t connect with an MS Exchange from your Outlook. If you do then mentioned procedure does not work for you.
